Description
Post Title: Deputy Hall Manager
Experience: Minimum of 2 years administration and staff management.
Hours: Monday – Friday 8.30am – 5.30pm
Function:
To provide day-to-day operational support to the Business Manager, The work will include maintaining resident, site and staff records. Assisting with the direct lettings to residents. Managing the Domestic and Maintenance Staff and related issues. Assisting with planned preventative maintenance schedules, and other service activities including management of the Invoicing system. Assisting with the management of the summer conference business and all related issues.
Main Duties
1. Maintain effective reception/help desk facilities during required hours.
2. Assisting in the recruitment of Domestic staff and the management of their induction.
3. Assisting the Manager in all aspects of the summer conference lettings.
4. Supervision of domestic staff and planning of their duties.
5. Completion the monthly maintenance inspection sheet.
6. Acting as the site ‘Property Safety Officer’
7. Assisting the Lettings Officer in all aspects of direct room letting.
8. Ensuring Health and Safety regulations are adhered to relating to the domestic activities of the Village and relevant records kept up to date.
9. Liaise with other service providers as required.
10. Dealing with enquiries from residents, visitors, Opal and university representatives, external contractors etc.
11. Dealing with student and guest complaints, through to their resolution.
12. Administration of hall records. This includes updating records, accommodation/resident lists and maintaining staff records.
13. Termly room inspection
14. Ensuring that there is sufficient stationery and cleaning materials in stock at all times. This will involve stock control and ordering.
15. Adhering to the Data Protection Act.
16. Ensuring correct accounting procedures are carried out when collecting any monies.
17. Ensuring the security of the reception area.
18. Ensuring that the reception and foyer areas comply with safe working practices.
19. Deputising in the Business Manager’s absence
