Description
SECURITY OFFICER
The following information is furnished to assist staff joining Opal Property Group Limited to understand and appreciate the working content of their post and the role they are to play in the organisation. However, the following points should be noted:
1. Whilst every endeavour has been made to outline all the duties and responsibilities of the post, a document such as this does not permit every item to be specified in detail. Broad headings, therefore, may have been used below, in which case all the usual associated routines are naturally included in the job description.
2. Staff should not refuse to undertake work which is not specified on this form but they should record any additional duties they are required to perform and these will be taken into account in any appraisal.
PRIME OBJECTIVES OF THE POST:
Monitor and operate CCTV equipment proactively and/or reactively throughout the site.
Monitor alarms (fire, burglary and lift) and where necessary act a Fire Marshall in line with the Opal Operating Procedures.
To ensure your area of work makes a maximum contribution to the major works and/or the Opal site.
To work with customers and partners to create a secure and vibrant site.
To ensure the best practicable level of customer service to include liaising with outside agencies as deemed necessary on residents or the Groups behalf.
To liaise with Police, Management and University colleagues and others deemed appropriate.
To act as a front line contact point for customers, liaising with office staff if appropriate.
SKILLS
Basic keyboard/computer knowledge
Operate CCTV equipment (cameras, recording equipment etc).
Operate two-way radios (where necessary)
Able to communicate with members of the public, Police and other agencies by telephone and other verbal communication.
Able to write full and concise information in security log.
Practical approach to dealing with problems and other enquiries.
Able to take instructions and work on own initiatives.
Helpful and friendly approach to guest/residents.
Good communication skills
The ability to be flexible and work as a team.
Pride in, and awareness of personal appearance
Enthusiasm for working in a multi-cultural environment.
RESPONSIBILITY FOR PEOPLE
Contribute towards the responsibility for the general safety of residents, general public, staff members and visitors to the site.
Responsible for the security of the building and surrounding areas, and monitoring access of residents and bona fide visitors with the discretion to refuse access by outside agencies and/or other unwanted visitors.
RESPONSIBILITY FOR RESOURCES
Responsible for security equipment, keys, fobs, door entry systems, uniform and other ad hoc security and office equipment.
Responsible for CCTV surveillance equipment, taps and office security.
Locking up and security of office facilities.
Two way radios (where appropriate)
Security of the site in the event of an evacuation.
SUPERVISORY RESPONSIBILITIES:
No supervisor/managerial responsibilities.
INITIATIVE
Responsibility for contacting Emergency services in order to prevent crime.
Recording incidents as per procedural manual.
Liaison with Police and other offices.
Writing reports.
Provision of written or video evidence for Court and attend as and when required.
MENTAL EFFORT
Keen alertness and concentration at all times.
Methodical approach to work
Good problems solving skills and ability to be diplomatic when dealing with situations
PHYSICAL EFFORT
Good eyesight.
Good colour vision
Ability to operate CCTV surveillance equipment and door entry system.
Able to operate keyboards, recording equipment and fire alarm panels.
WORKING CONDITIONS
Working within the security station at the site.
SUMMARY OF MAIN TASKS
1. Monitor the camera images proactively and/or reactively so as to assist with the detection of crime and other purposes
2. Operate a multi-camera recording system, ensuring criminal incidents and other purposes defined in Operating Manual are recorded.
3. Operate all other equipment in security station in a correct and efficient way.
4. Inform and interact with Police and other agencies, e.g. Crime Prevention when necessary of incidents, suspect person etc promote response in line with operational procedural manual. Ensuring good working relationships at all times.
5. Attend to resident lockouts observing procedures.
6. Monitor and control the on-site parking.
7. To call out maintenance services in the event of a maintenance emergency.
8. To attend noisy incidents and gatherings and deal with situation in an effective diplomatic way.
9. Liaise with Wardens and R.A.’s to deal with incidents in accordance with site instructions.
10. Observe Data Protection and resident confidentiality.
11. Receive deliveries and assist with mail distribution when required.
12. Controlling access to the site by visitors and trades persons.
13. Ensuring that visitors and trades persons are signed in and have the relevant passes issued accordingly.
14. Refer matters to Wardens or R.A.’s regarding resident pastoral or conduct issues.
15. Litter pick courtyards during early morning patrols.
16. Carry out regular patrols of the site and ensure that all doors are secure. As a guide;
a. Check Site perimeter – Hourly
b. Check the entrances to all blocks – Hourly
c. Check each flat door within the blocks – 2 Hourly
Operate door entry system.
1. Receive messages from public and to respond accordingly, using the internal intercom system.
2. Maintain accurate records and logs for visitors, incidents, shift hand-over procedures, etc in line with standard operating procedures.
Other tasks
1. Check equipment for operational readiness.
2. Maintain control room and ancillary rooms as a tidy working environment.
3. Assist in maintaining a tape management system, including changing rotating, sorting, erasing, viewing, copying and issuing agreed procedures and in line with CPS.
4. Produce formatted statements of evidence
5. Attend court to provide oral evidence (if required)
6. Inform supervisor of matters of importance and any failures so downtime is minimised.
7. Communicate with operational and control room officers concerning incidents, ensuring their information requirements are met.
8. To log phone calls and locations from site based staff as instructed by management in line with lone working procedure.
9. Follow set procedures in event of an emergency.
10. Carry out tasks in line with Code of Practice and operational guidance manual.
11. Responsible for taking and informing neighbourhood office of repairs and other management related enquiries during working hours.
12. To be familiar current legislation e.g. Data Protection Act.
Special conditions
• Provision of uniform to be worn at all times whilst on duty.
• Non-smoking environment (except where a designated are is provided).
• No vacating post during shift (except emergencies).
• Working a shift system to cover 24 hours per day, 365 days per year, to include other shifts in the event of absence.
